Reviewing an Occurrence
Who is this article for?Users responsible for managing Occurrence records.
Occurrence Acceptpermissions are required.
Once a user has raised an Occurrence, it must be reviewed to ascertain whether it should be managed as an incident or whether it can be disregarded.
This article outlines the actions you can take against a raised Occurrence if you're named as the person responsible for reviewing it.
1. Accepting an Occurrence
If you determine that the Occurrence should be investigated, you should accept its record. This will generate an Incident record, complete with an assigned workflow to ensure appropriate handling and resolution.
To accept an Occurrence:
- Open the Occurrence record.
- Click Accept.
- Select how you want to manage the Occurrence.
- Click OK.
2. Rejecting an Occurrence
If you determine that the Occurrence is not something that should be investigated, you should reject its record.
To reject an Occurrence:
- Open the Occurrence record.
- Click Reject.
- Confirm with OK.
Not certain that the Occurrence will not need further action?
Rejected Occurrences cannot be accepted later, so be sure you've reviewed its record thoroughly before confirming its rejection.
3. Escalating an Occurrence
Sometimes, you may want to escalate an Occurrence for monitoring purposes, but the resulting Incident will not require any further action. You can do this by applying a Standard Event to an Occurrence.
Closing an Occurrence as a Standard Event will create and close an Incident record automatically. This allows you to auto-risk assess the event and display the event on your dashboards.
To escalate an Occurrence this way:
- Open the Occurrence record.
- Click Accept as Standard.
- Select the relevant standard event.
- Click OK.
Are you being asked to provide a signature?
Depending on the Occurrence Type, you may be asked for an electronic signature. To complete the approval process, enter your system credentials and click Sign.
