1. Feature Changes
The following feature changes have been implemented:
Audit
Risks, Assets, and Interested Parties from Ideagen Quality Management Cloud Basics can now be included in the Associated Items of an Audit.
Included items can be marked as Planned or Completed and appear in the Audit Report.
Assets
- Implemented a Date & Time Picker for Performed On and Schedule Date fields.
- Validated customers only: We have removed the ability to delete Asset Records.
- You can now set Asset records as unavailable in bulk. Tick the records you want to apply the status too, then click the 'Set unavailable' link.
Documents
- The draft document capability has undergone major improvements. A document record can be placed into a draft status at creation, both for single documents and batch uploads. Draft documents can now be created with files attached. Draft documents can also be created during the new version process.
- The new draft changes have allowed us to make significant changes to the approval workflow process, more detail in the Workflow section below. It is now possible to configure at a document type level if you want to 'Allow permitted users to edit document details while approval workflow is in process'
When enabled, the setting above will give Document Managers the ability to edit the majority of details on a document record, as well as change the attachments, during to approval workflow. Any changes made at this stage will be audit trailed as normal.
- Document review tasks for multi person reviews now allow users to add attachments. The attachments can be viewed from the Document Reviews Details panel.
- We have added a number of new columns and filters to the following list screens.
-
-
- Workflow (Document Types)
- Controlled (Document Types)
- Workflow Status (Document List)
- Controlled (Document List)
- Last Modified (Document List)
-
- Alteration of the layout for the Document Details menus to improve grouping and order.
Interested Parties
- Implemented a new date picker for the Review Date field.
- Implemented a new date & time picker for the Product, Service and Standards' Review Date fields.
- Validated customers only: We have removed the ability to delete IP and IP category records.
Issues
We have added a number of new columns and filters to the following list screens.
- Workflow Status (Issues List)
- Description (Reports - Issues List)
Risk
- Validated customers only: We have removed the ability to delete Risk records
Workflow - Essentials
- Workflow tasks can now be configured to include an accept or reject value to allow recipients to make an explicit choice clearer to those downstream in the workflow. In the Action Type settings section you can now specify if you would like to 'Require approve or reject response'
The recipient of the task will then see an extra drop down field in their task which they must complete.
Anyone who sees a task with the approve and reject dropdown will be classed as an approver in the workflow. These approvers can be added to documents via a new overlay tag, %approvers%.
- Tasks now include a workflow tab to make it easier for users to view the history of the workflow.
- As well as making the workflow more accessible from tasks we have also improved access to information about repeated steps in workflows. Users can now see how many times a part of the workflow has been repeated as the result of a decision step, from the overview display in the top right hand corner of each step. Each number in the step shows how many times it has been repeated.
Clicking into the step will then give access to all tasks that occurred in each repeat. Accessed via the Iteration drop down menu at the top of the panel (highlighted in red in the screenshot below). We have also added the Reason for repeat information to this panel.
- Audit trail enhancements have been made to the Workflow Template section of the system to allow users to see more information about actions carried out on the templates.
