Integrating Ideagen Quality Management with Academy

This article provides guidance on seamlessly integrating Ideagen Quality Management with Academy, ensuring efficient data synchronisation between the two platforms. By following the steps outlined here, users can streamline their training management processes and enhance the overall quality control system.
1. Linking to Versions 6.8 and Above
Important: You will need the Professional version of the Ideagen Academy and an administrator account in both Ideagen Quality Management & Ideagen Academy to complete this.
1.1 In Academy
- Log into the Academy as a Professional Administrator.
- Click the Branch Settings button.
- Open the Integrations section, then click the API tab.
- Ensure the Enable API box is ticked, then copy the code in the API Key field.
1.2 In Ideagen Quality Management
- Log into Ideagen Quality Management as an Administrator.
- Open the Administration module.
- In the Customisation section, click Branding & Integration.
- In the Academy Integration Settings section, you must enter the following information:
- Academy URL: You must use a unique URL to access the Academy (e.g. linetrax.ideagenacademy.com). To find out how to set one up, see Creating a custom URL.
- API: Enter the full API code: /API/v2.0/
- Key: Paste your API Key into this field.
- Click the Test button. A message should then appear stating “Academy settings are valid.”.
- Click OK. If Ideagen Quality Management crashes, it suggests that the information added is incorrect.
You have now linked your Ideagen Quality Management database with the Academy.
2. Linking Ideagen Quality Management users with Academy
- Launch Ideagen Quality Management and access the people module.
- Click Edit then Academy Integration and Link Academy Users.
- Your Ideagen Quality Management users and Academy Users are connected via email. Unmatched accounts are displayed in the window. To match them, you need to edit the email addresses accordingly and then click refresh.
- Afterward, you can import all Academy courses into Ideagen Quality Management. Upon completion of the import, the people module is automatically updated with completed training courses, even if they were completed prior to the v6 installation.
3. Importing Academy Courses
- Launch Ideagen Quality Management and open the People Module.
- Click Actions then Academy Integration and Import Academy Courses.
- You then check the relevant course boxes and click on the Import button. You are then notified of how many courses were imported.
4. Updating Events
You can update your users with previously completed Academy courses. To do this, please follow the steps below.
- Launch Ideagen Quality Management.
- Open the People Module.
- Click Actions and select Academy Integration.
- Click on Update Academy Events.
Note: Ideagen Quality Management version 6.8 and above can only be linked with Ideagen Academy.
