How to Enforce Attachment Storage for Record Properties

Ideagen Quality Management records can include file attachments. Normally the storage method of these attachments is left available for the end user to select, however Administrators can force the attachments to be embedded into the database.
This article outlines:
1. What Storage Options are Possible?
There are three methods:
- Embedded: The document is stored inside the Ideagen Quality Management database. Only users with Ideagen Quality Management credentials can access the document.
- Stored Locally: The document is stored on the end users device. No other user can access it.
- Stored In a Folder: The document is stored in a network folder and only users with IT access to that folder can access it.
When you enforce embedding the user will not have the choice of where the document should be stored and the documents will always be embedded in the database.
2. How to Enforce Embedding
To enforce the embedding of attachments:
- Open the Administration module
- Go to Preferences, then select File Attachment Options.
- Click Manage.
- Place a check in the appropriate checkboxes.
- Click OK.
Important Note: If “Delete Original File” is checked, the original file will be completely deleted from the machine and the copy in Ideagen Quality Management will be the only one available.
