Understanding file attachment size notifications

When attaching files to a document record, you may receive a notification if the file size exceeds certain limits.
1. Understanding the notification
This notification box is displayed when the file you are attaching to a document record is larger than 10MB or when the total size of all files attached to a document record exceeds 10MB.
This is a notification message only and usually requires no further action from the user. This notification is displayed to inform the user that the attached file will travel across the network. This may have an effect on network performance.
2. Understanding file storage methods
Files can be stored in two different ways in Ideagen Quality Management:
- Embedded in Ideagen Quality Management
- Stored as a linked attachment
3. Embedding files
When files are embedded in Ideagen Quality Management this means that they are written to your Ideagen Quality Management database. This is the most secure method you can use. When a file is written to the database it goes from the client to the application server and from there is written to the database.
When opening embedded files, the file is downloaded to the user's temporary files and then opened. This will take place every time the file is opened.
4. Storing files as linked attachments
When files are stored in Ideagen Quality Management as linked attachments it means that they are stored somewhere on the network. When Ideagen Quality Management opens a linked attachment it goes from the client, to the application server, to the database where the path of the file is stored. From there it goes to the network location to retrieve the file.
The file is then opened from the network location.
