How to Define Mandatory CA/PA Fields

The CA/PA module includes a number of fields that are completed as your investigation progresses. Field values such as Process or Documents are not always known as a CA/PA record is raised but are usually identified throughout the course of your investigation.
Some of these fields can be set to mandatory, so that the CA/PA record cannot be closed until these specific fields have been filled in. This article outlines the steps required to configure mandatory fields for each of your CA/PA types.

1. Mandatory Wizard Fields Vs Mandatory Closure Fields
There are two ways to make fields mandatory in the CA/PA module:
1.1. Using a Wizard
- A wizard is configured so that the mandatory field must be filled in before moving onto the next page of the wizard.
- The mandatory field is essentially presented at the beginning of the CA/PA process, meaning the user raising the CA/PA must enter the information.
Important Consideration: If the user raising the CA/PA does not have the information to hand then they may choose not to raise the incident or they may select any value from the list to proceed. It is recommended that only essential fields to submit the CA/PA are set to mandatory.
1.2. On Record Closure
- A number of fields can be set to mandatory before the record can be closed.
- If a mandatory field has not been filled in and the owner attempts to close the record then they will receive a warning next to all empty mandatory fields.
- Mandatory fields are denoted by a red asterisk *.
Tip: If you need information to commence your investigation then the field should be mandatory on the wizard. But if the information is something that will be identified during the investigation then the field should be mandatory on closure.
2. Configure Mandatory Fields on a Wizard
To set a mandatory fields and default values:
- Open the CA/PA module and click Edit then CA/PA Wizards...
- Edit your wizard.
- Go to your edit a page window.
- Click on a field.
- Check the Mandatory checkbox to make a field mandatory.
- Check the Default value checkbox to assign a default value.
3. Configure Mandatory Fields on CA/PA Closure
A mandatory field set can be used to force fields to be completed before the CA/PA record can be closed. This is configured based on the CA/PA source.
Example: A customer complaint may have different mandatory fields to that of an Internal Audit Non-Conformance, and therefore you can have 2 different field sets to ensure the correct information is populated under each scenario.
To set a mandatory fields on CA/PA closure:
- Open the CA/PA module and click on Edit, then CA/PA Mandatory Field Sets.
- Click on the New button.
- Enter a concise and easy to understand name for your field set.
- Select the fields that should be mandatory.
- Select any Sources this field set should apply to.
- Click OK.
Note: There are no limits to the number of sources that can be assigned to a single field set. This means if you have single field set which applies to all of your sources then you can use a single mandatory field set instead of creating one for each source.
