Configuring email messaging

Local IT access is required.
Quality Management generates emails and forwards them to your email service provider for delivery. After setting up email messages in the Administration module, the Quality Management dispatch service needs to connect to your SMTP server or service provider.
This article outlines how to required to connect the system to your SMTP service.

2. Accessing the message dispatch service
To enable the messaging functionality, you need to configure the Message Dispatch Control Panel located in the Quality Management Server installation folder.
By default, this is:
- 32bit Windows - C:\Program Files\Gael Ltd\Q-Pulse Server
- 64bit Windows - C:\Program Files (x86)\Gael Ltd\Q-Pulse Server
The main areas that you need to set up are outlined below.

| Default from email address | Default email address that all Ideagen Quality Management messages will be sent from. This does not need to exist in your SMTP server, but it must be a valid format for your domain (e.g. IQM-Pro@yourdomain.com). |

Location of the web interface |
URL used to access the Web interface allows Ideagen Quality Management to generate a unique link in each email, enabling users to access the specific records mentioned in the email. |

SMTP server name |
Name or IP address of your SMTP server. Ideagen Quality Management will generate the messages and pass this to your SMTP server for distribution. If this is running on the same domain as the application server, this does not need to be the fully qualified domain name. |
| Server authentication |
If your server requires authentication or has anonymous relaying disabled, you will need to create an account that has permission to send mail and enter its credentials here. |
| SMTP server port |
Port that email will be sent on. By default this is port 25. Review your cyber-security processes to confirm that port 25 is not blocked by any security applications currently in operation (e.g. anti-virus scanners, firewalls, etc.). |
| SSL Connection |
Only check this option if your mail server requires a secure connection. |
3. Configuring the message dispatch service
To configure the Message Dispatch Control Panel:
- Browse to the Quality Management Server installation folder.
- Run QPulseMessageDispatchControlPanel.exe.
- Open Message Dispatch.
- Enter the Default From Address.
This is where the emails are sent from (and the address of your Ideagen Quality Management web interface, if applicable).
- Select SMTP from the list on the left.
- Enter the SMTP Server Name.
This is the server that will send all of the messages. - Enter Username and Password.
This is only needed if your mail server requires authentication before sending email messages. - Confirm the SMTP server port.
- Click Apply.
Want to test the setup?
Output acts as a live viewer for all emails sent by the system. You can leave the window open on that section when testing that an email is triggered by Quality Management.
