Using the Audit Log Viewer

Audit Log Viewer access is required.
The Audit Log Viewer displays a comprehensive audit trail of all transactions performed in Ideagen Quality Management • Professional, allowing you to track object creation, editing and deletion across the system.
This article explains what information is logged and retrievable using the tool.
1. Data logged
The Audit Log records all changes within the database, including:
- Creation of new objects
- Adding of child objects or field values
- Edits of previous and new values
- Deletions of objects
System value changes such as signature configuration changes are also logged.
Note
Audit trail entries cannot be edited for compliance and security of your data.
2. Searching audit logs
When you log into the Audit Log Viewer, a search panel appears on the left and an empty list on the right.
You can search using the following criteria:
- Event Date - Define the date range of the logs to view (a date period is required, Any is not valid).
- Module - Module from which the transaction took place.
- Monitored Fields - Focus on particular fields and actions.
- Event - Focus on particular events within the system, such as record creation.
- Performed By - Enter a name or use the ... button to search for a person (if a person has been archived or deleted, enter their name manually).
- Identifier - Entered text is matched against the log entry identifier field, returning all entries containing the text.
Identifier examples include:- Document - Document Number and Revision
- Audit - Audit Title, Number (if enabled)
- Asset - Asset Number
- Training - Training Event
- People - Full Name
- Customer - Customer Name
- Supplier - Supplier Name
To configure the columns displayed:
- Right-click the column headings of the list.
- Choose Select Columns.
A window opens allowing you to select the columns displayed on the list. Columns may also be sorted and grouped.
Note
The tool remembers your last search criteria when you next log in, but the search will not run automatically.
3. Viewing audit logs
To open an audit log entry, double-click the row within the list. You can use the arrow icons at the top of the details form to navigate between other logs returned in your search.
4. Printing audit log entries
To print audit log entries:
- Open the File menu.
- Select Print.
- Tick Include Audit Log Details to include the details of the log entries.
- Click Print.
To print a single log entry from the details view, click the Print icon in the main toolbar.
