Troubleshooting incorrect details in document review action emails

On occasion, notification emails sent upon the completion of a document review action may display outdated information or details from the original review instead of the current action. This is typically caused by incorrect data band configurations within the message's report template or known issues addressed in specific system updates.
This article walks you through identifying the issue, accessing the message designer, and resolving discrepancies in the notification output.
1. Issue
You may be experiencing this issue if your Document Review Action Completed emails exhibit the following symptoms:
- Email displays the original reviewer’s name instead of the current reviewer.
- Historical review comments are shown rather than the most recent feedback.
- Review history list is missing or not sorted chronologically..
2. Solution
2.1. Manual review
To resolve the issue:
- Open the Administration module.
- Navigate to Customisation.
- Select Messaging.
- Locate the message named Document Review Action Completed.
- Click Edit.
- Locate the Message body section.
- Click Edit.
This will launch Report Designer.
If the email is pulling the wrong data, the bands in the report template (which dictate which database records are displayed) may be incorrectly mapped.
Within the Report Designer, verify that the following fields are pulling from the correct data source:
- Reviewer
- Action Required
- Comment
Discrepancies often occur if the template is set to pull the first record in the history instead of the latest.
2.2. Migrated fix
If you are working with us on migrating a fix from a test environment:
- Click File.
- Select Export.
- Save your current template as a backup or for support analysis.
- Click File.
- Select Import.
- Select the corrected report template file provided by our team.
- Click Save & Close to apply the changes.
