Importing audit checklist templates

Manage Checklist Templates permissions are required to perform these actions.
Manually entering large volumes of audit questions can be time-consuming. Ideagen Quality Management allows users to prepare audit checklists in a specialised Excel format using the Checklist creator and then import them into the system for use.
This article explains how to correctly populate the Excel template, manage specific data requirements, and convert the file to the necessary XML format for a successful import. It also includes step-by-step guidance on saving the file in the correct format, ensuring a smooth and error-free import process.
Important: The checklist template must be completed precisely in order to import into the system. Please refer to the sample audit checklist for an example configuration.
1. Preparing checklist data
Use the approved Excel template so the system can correctly recognise your data. It depends on specific column mappings for sections, questions, and scoring.
Follow these formatting guidelines when completing the Excel file to prevent import errors:
- The N-th Column - This column (typically related to scoring or mandatory requirements) must only contain the values TRUE or FALSE. Any other text will cause the import to fail.
- Sectioning - Ensure that every question is associated with a Section Title to maintain the hierarchical structure within the Audit module.
An sample Excel file is attached to this article for your reference. We recommend using this as a master template by clearing the sample rows and replacing them with your own data.
2. Saving the file
Before you can import the file, you have to save it as the correct file type.
To save the file:
- Open your completed Excel checklist.
- Click File.
- Click Save As.
- Click More options.
- Select XML Data from the Type dropdown.
- Save the file to a location you can easily access.
3. Importing the file
Once your XML file is ready, you can upload it into the Audit Checklist Designer.
Before importing the file, ensure that:
- it's been saved as XML Data
- all boolean logic columns have a TRUE/FALSE value assign
To import the file:
- Navigate to the Audit module.
- Go to Manage Checklist Templates.
- Click New to create a new template header.
Alternatively, you can open an existing one. - Select the Import option from the toolbar.
- Choose your saved file.
