Troubleshooting the error: Unable to access document properties or change ownership

When attempting to modify a document record, specifically to change the owner or view the file details, you may find that the Properties option is missing or disabled in the right-click context menu.
This article explains why this menu option becomes unavailable and how to resolve the issue.
1. Issue
When a user right-clicks a document in the Documents module list view, the Properties option does not appear in the menu.
This occurs because the document status is currently set to Checked Out. In Q-Pulse, checking out a document locks the record to the user who performed the action. To prevent data conflicts, the system disables administrative changes - such as changing ownership or editing metadata properties - until the document is checked back in.
2. Solution
To restore access to the Properties menu, the document check-out must be resolved.
- Open the Documents module.
- Locate the relevant document in the list view.
- Look at the Status column to confirm the document is Checked Out.
Tip: If you cannot see the status, right-click the column header row, select Column Chooser, and add the Status column to your view.
- Right-click the document record.
- Select one of the following options:
- Check In: Select this if you have made changes to the file that you wish to keep.
- Undo Check Out: Select this to discard any potential changes and release the lock immediately.
- Once the Status updates to Active or Draft, right-click the document again.
- Select Properties.
You will now be able to view the full document details and change the ownership if required.
