Using the draft (Using Approval) workflow

Users who are responsible for revising controlled documents in Q-Pulse.
Document Revise or Document Revise [Draft only] permissions are required.
When attempting to create a new document revision using the Draft (Using Approval) workflow, the option may appear grayed out or disabled. This article delineates the potential reasons for this occurrence and the steps to troubleshoot and rectify the issue.
1. Check if a draft already exists
A prevalent reason for the unavailability of this option is the existence of a draft version that has already been created for the document and is currently undergoing the approval cycle.
To verify:
1. Open the document in the Q-Pulse Windows Client.
2. Navigate to the Revision drop-down.
3. Select Revision History and ascertain whether any draft is already listed.
4. If present, this document is in the Draft Register and cannot have a new revision until it is published.
Note: Only one draft revision can exist at a time for any document.
2. Confirm the document status
If the document is currently undergoing approval, it will not be editable again until all actions have been completed.
The “Draft (Using Approval)” option is disabled until the current draft is either published or cancelled.
3. Verify user permissions
Ensure that the users attempting to revise the document possess the appropriate permissions:

Tip: You can verify this in User Management or by reviewing the user’s access role.
4. Additional troubleshooting steps
If no draft is listed and permissions are valid:
• Confirm that the user is operating in the correct environment or server.
• Contact your Q-Pulse administrator to verify the configurations of the approval workflow.
