Configuring email messages

Report Designer gives you access to a suite of email tools, including customising the messaging and recipients, allowing you to match your organisational standards and tone.
This article shows you where you can configure the email content.
1. Customising email messages
To customise messages:
- Open the Administration module.
- Select Customisation.
- Choose Messaging.
- Edit the message you want to customise.
- Click Edit.
- Click Edit... next to Message body.
This will open Report Designer.
- Update the email content as needed.
- Click Save.
- Close Report Designer.
- Click Save (Tick icon) in the previous tab.
2. Changing recipients
2.1. Recipients
To add recipients:
- Edit the message you want to customise.
- Switch to the Recipients tab.
- Select an option from the addressee dropdown.
- Specify the group/user in the Select a recipient dropdown.
- Click Add.
- Click Save (Tick icon).
To remove recipients, tick the box next to the required group/user and click Delete (Bin icon).
2.2. Conditional Recipients
You can also add custom conditions that will send out a message to specified groups/users when met.
To add conditional recipients:
- Edit the message you want to customise.
- Switch to the Conditional Recipients tab.
- Click New Condition.
- This will open a Condition Details pane.
- Enter a Condition Name.
- Set the Importance.
- Specify the Conditions.
- Switch to the Recipients tab.
- Follow the process for adding recipients.
- Click OK.
- Click Save (Tick icon).

- Open the Administration module.
- Select Messaging (under Customisation).
- Right-click the message you want to customise.
- Select Edit.
- Click Edit... next to Message body.
This will open Report Designer.
- Update the email content as needed.
- Click Save.
- Close Report Designer.
- Click OK in the previous window.
2. Changing recipients
2.1. Recipients
To add recipients:
- Right-click the message you want to customise.
- Select Edit.
- Switch to the Recipients tab.
- Select an option from the addressee dropdown.
- Specify the group/user in the Select a recipient dropdown.
- Click Add.
- Click OK.
To remove recipients, highlight the group/user and click Remove.
2.2. Conditional Recipients
You can also add custom conditions that will send out a message to specified groups/users when met.
To add conditional recipients:
- Right-click the message you want to customise.
- Select Edit.
- Switch to the Conditional Recipients tab.
- Click Add....
This will open a Condition Details window. - Enter a Condition Name.
- Set the Importance.
- Specify the Conditions.
- Switch to the Recipients tab.
- Follow the process for adding recipients.
- Click OK.
To edit a condition, highlight it and click Edit....
To remove a condition, highlight it and click Delete.
