How to Find the Data You Want to Report On
Ideagen Quality Management Reports are built based on the information currently displayed on your screen, with this in mind it is often more productive to generate as much of your report as possible within Ideagen Quality Management.
This enables you to build search criteria and include filters or groups all within the application therefore simplifying the creation of Report.
The 3 main ways to retrieve data are:
Before building your report you should have an idea of the data you wish to extract.
Searching for Records
- By selecting field values from the Search tile on the Task Pane in the List screen for each module, e.g. Status, Date, Keywords, you can search for records within the system.
- Quotation marks also allow for explicit searching
- For more granular searches there is an Advanced Search function
- The Advanced Search allows you to include filter logic on almost all of the available fields within the Module
- E.g. All Open CAPA where System Admin is the Owner
- Once the query is built it can be saved for future use
Nested Views
When your query has been built you can introduce more data to the results by adding Nested Views.
'Nests' are added by clicking [View]>[View nested]>[...] from the main List View allow one-to-many relationships to be shown in a list, e.g. a Non-Conformance may have many associated Stages, an Audit may have many Auditors etc.
The Nested Views available differ in each module.
For example: Our query has returned one record that has a stats = 'Open' and Owner = 'System Administrator'
By using the Nested View we can Introduce 'Stages and Actions' or 'Batches' to our results
Workload Reports
Ideagen Quality Management contains many pre-built reports in the Workload module which are beneficial when comparing user actions.
You can view outstanding or completed actions for which you, your department or your defined group are responsible by querying records in the Advanced Workload screen.
The Workload Filters allow to specify which actions you would like to view. In the Filters screen, you can specify the following:
- Outstanding or Completed actions
- Specific Time period
- Results by Person, Department or Group
- For Example: Showing Outstanding Actions Due or Overdue within the next Week for the System Administrator
Hovering the mouse pointer over the Flag provides a tooltip explanation for the result
In the results window clicking on the hyperlink for the results generates a List View report for your criteria
Refine your Results
We can use Ideagen Quality Management to return 'whole' records and some related records, however when we wish to refine the data contained within those records we can use Report Designer.
For example, if you wanted to showing all Documents with outstanding Acknowledgements, Ideagen Quality Management can be used to return all Documents records matching the criteria:
However if you wanted to view only a sub-set of this data, e.g. only the Un-acknowledged users we would use Report Designer.
